Regarding process time

I have emailed to NVC for droping the derivative name and after that they Have replied us that particule derivative DS-260 is remaining to fill up.. Again we have now posted/couried the hard copy of letter for droping name.. That derivative name was added to file as we have submite CSPA but now he is not interested to stand for an interview so do we need to mention the reason for droping the name.. Or it will be ok .?? And how much time they will take to drop his name as we have submited a twice.
Your help or suggestion will be more thankfull...
